Create MX Merchant user accounts

Give your employees acconts to work on their own

Learn how to create Supervisor, Clerk, and Read Only user accounts in MX Merchant, assign appropriate roles, and configure security settings to control employee access.

Overview

This guide explains how to create employee user accounts in MX Merchant using the Supervisor, Clerk, and Read Only roles. Assigning the correct role helps you control access to sensitive business information while allowing employees to perform their daily tasks.

Role Overview

Before creating a new user, review the available roles:

  • Supervisor – Has access to most features, including payments, customers, reports, and settings, but cannot modify General business information (such as legal or ownership details).
  • Clerk – Can process payments, perform Quick Pay transactions, and manage customer information, but has limited access to settings and reports.
  • Read Only – Can view payments, customer information, and reports, but cannot process transactions or make changes.

Creating a New Team Member

  1. Log in to MX Merchant using an Admin or Sub-Admin account.

  2. Click Settings.

  3. Select Team from the settings menu.

  4. Click + Add Team Member.

  5. Enter the following information:

  • Username - Unique login name created for the team member; it must not duplicate another user’s username.
  • First Name - Team member’s given name as it should appear in the system.
  • Last Name - Team member’s surname or family name.
  • Email - Valid email address used for notifications, alerts, and account-related communications.
  • Mobile Number - Phone number used for security alerts.
  1. Select the appropriate role (see above).

  2. Set the account status to Active if the employee should have immediate access.

  3. Click Change Password.

  4. Enter a temporary password.

  5. Confirm the password by typing it again.

  6. If nevessary, set up the needed security settings by clicking Advanced to expand additional security options.

Time Access

  • Select the allowed login days.
  • Set the daily Start Time.
  • Set the daily End Time.

Note:
The system will automatically log the user out outside of the selected time range.

Payment Limits

  • Enter a Max Sale amount to limit daily sales processing.
  • Enter a Max Refund amount to limit daily refunds.
  1. Save.
  2. The new team member will now appear in your Team list and can log in using the assigned credentials. You can learn more in the Team Settings portal guide.
